DBHC is a grant making charity and therefore follows the Charity Commission requirements when deciding how to invest its available funds in furtherance of the Charity’s objectives. The Corporate Trustee (Board of Trustees) are also mindful of the need to comply with the Charity Commission's definition of public benefit: -
The benefit aspect
A charitable purpose must:
- Provide a clear, identifiable benefit.
- Be supported by evidence, not personal opinion.
- Demonstrate that any harm or detriment does not outweigh the benefit.
The purpose must be beneficial and that the benefit must be capable of being proved by evidence.
The public aspect
- Benefit the public in general, or a sufficient section of the public.
- What counts as a “sufficient section” varies depending on the purpose.
- Ensure that any personal benefit is no more than incidental meaning it is a necessary and unavoidable by‑product of carrying out the charitable purpose, not an aim in itself.
For information and guidance:
All applications will be processed as efficiently as possible. The time from submission to decision/outcome will vary dependant on the governance required.
For smaller value applications, such as a microwave/fridge, a decision should be reached within a month from application.
If further governance is required for more complex high value applications, they will be subject to additional review by one or more of the following committees:

Derby & Burton Hospitals Charity Charitable Funds Committee (CFC) – This group meets quarterly

Derby & Burton Hospitals Charity Corporate Trustee (CT) - This group meets 3 times per year.
Keeping applicants informed
Our grant management system will keep the applicants informed via email as the application moves through the governance processes. A link to the grant management portal will be emailed should further action be required by the applicant. Applicants will then have 28 calendar days to respond via the grant management system.

UHDB staff or honorary contract holders who are linked organisations where benefit flows back to the trust can apply for a grant from our charity.

Unfortunately, the application cannot be edited following formal submission. Please ensure that all the information is checked and is final before submitting. If you would like to speak to our team, please email UHDB.charityfinance@nhs.net

Yes, quotes are required and should be obtained in line with the UHDB policy. It is recommended, that where appropriate, three competitive quotations are obtained and local suppliers are included if available.

Yes, impact reporting may be required depending on the project scope and value. Impact reporting is really important as it demonstrates the public benefit and enables those who support our charity, to understand more about where their donation/fundraising has made a difference. Details of impact reporting required will be agreed with the applicant.

Yes, MDPOG/MDG approval is required for medical devices or equipment. Please see above for links to the appropriate approval forms.

The charity finance team will agree with the applicant how the monies are transacted. No monies should be spent until the approval has been confirmed. Retrospective applications are not permitted.

The applicant will receive a notification via email of an update in the grant management system, rationale for the decision will be detailed in the application file.
If the applicant disagrees with the decision, the applicant can appeal via the charity team.
